Hoki Academy Terms and Conditions
This Tutoring Agreement ("Agreement") sets out how Hoki Academy, will provide tutoring agency services to its students and parents. This agreement will be effective from [Date].

Roles and Responsibilities
- Hoki Academy operates as an educational platform solely responsible for matching tutors with parents or students, thereby enabling tutors to provide their tutoring services. This arrangement is strictly that of independent contractors; there is no employment relationship between tutors and Hoki Academy. Furthermore, Hoki Academy's relationship with the tutor is that of a service provider to a user, with no employment obligations.
- Hoki Academy is not responsible for the legality, suitability, or other standards regarding the Tutor's qualifications or conduct.
- Hoki Academy obtain security checks via DBS (Disclosure and Barring Service), to safeguard all parties.
- Hoki Academy shall not be liable for the actions or conduct of either party. Both parties are responsible for their actions during the tutoring relationship.
Fee

- Payment Method: Bank transfer, PayPal
- First payment due upon confirmation of tutor and parent/student, pairing in advance of and first session.
- First payment inclusive of agency fees.

Late Arrival and Change of Schedule
- Fees are calculated according to the scheduled time agreed upon by the tutor and student.
- No adjustment to fees shall be made for time due to late arrival by the student or by early termination of session by the student.
- Any lost time due to the late arrival of the tutor shall be compensated by extending a lesson by mutual agreement and by such amount of time that was lost.
- The tutor agrees to wait fifteen minutes from the time of the scheduled session for the student's arrival before considering the session be cancelled without sufficient prior notice.
- Missed sessions will not be refunded.
- The tutor has the right to charge a late fee, at their discretion, if a student is late for more than two sessions.
- The student or parent will provide more than 24 (twenty-four) hours’ notice if they need to reschedule a session.
Obligations of the Student
- The student undertakes to assist the tutor in identifying problem areas in which the student needs specific tutoring.
- The student agrees to provide their own materials needed for each tutoring session.
- The student agrees that assignments, exercises, or homework form an integral part of tutoring and undertakes to complete such work timeously.
- The student will ensure fees are paid on time and in line with the terms and conditions outlined.
Obligations of the Tutor
- The tutor undertakes to do all preparation prior to lessons and to structure lessons in such a way as to optimise time to the benefit of the student.
- The tutor shall keep confidential all information of the student and shall contact other parties involved in the education of the student only if given written permission by the student, or student's guardian, to do so.
- The tutor shall at no time be required or obliged to execute homework or assignment on behalf of the student.
- The tutor will provide more than 24 (twenty-four) hours’ notice if they need to reschedule a session.
- The tutor makes no promises or warranties with regards to a student's performance as a result of any tutoring provided.
Termination
This tutoring contract may be terminated by either party at any time by giving the other party seven days prior written notice.
Confidentiality
- Both parties agree to protect the confidentiality of all information shared during tutoring sessions.
- All parties agree to comply with all applicable data protection laws and regulations, including but not limited to the General Data Protection Regulation (EU) 2016/679 (GDPR) and the UK Data Protection Act 2018, as may be amended from time to time.
- Parties shall ensure that any personal data shared, processed or transferred under this agreement is done so in compliance with the applicable data protection laws.
- Each party shall only process personal data for the purpose specifically set out in this agreement or as otherwise agreed in writing.
